Upcoming Pricing & Package Structure Update

As BotSailor continues to grow, we are updating our pricing structure to make it fairer, simpler, and better aligned with actual platform usage.

Our goal is to create a pricing model where small businesses and resellers can start affordably, while pricing scales fairly as their business and platform usage grow.



Premium Plans

Premium packages will be simplified with clearer pricing, feature access, AI usage, subscriber limits, and team capacity.

More details about the new Premium packages will be announced separately.



White Label Pricing

White Label pricing will also be simplified significantly.


We plan to remove:

--Fixed user-based White Label packages

--Message Credit-based pricing for White Label

Instead, White Label will move to a single Pay-Per-Use model based mainly on actual active business usage.



The primary factors will be:

--Active paid customer accounts

--Subscribers belonging in reseller accounts


Free accounts, Trial accounts, and Expired accounts will not be counted as billable active accounts.

A reasonable subscriber allowance will also be included before subscriber-based usage pricing applies.



No Message-Based BotSailor Charge

Under the new White Label model, we plan to remove BotSailor Message Credit billing.

There will be no BotSailor per-message charge or standard message-sending limitation. Resellers will be able to focus on growing customer communication without having to continuously purchase Message Credit packages.

AI usage will remain separate because AI has its own consumption cost.



Why Are We Making This Change?

The current pricing structure can result in significant differences between customers with very different levels of platform usage.

The new model is intended to provide:


Fair pricing for smaller businesses → predictable scaling for growing businesses → sustainable pricing for high-volume platform usage.

It will also make White Label pricing easier to understand by removing multiple user packages and Message Credit packages.

We are still finalizing the exact pricing, included thresholds, billing rules, transition period, and effective date.

These details will be announced well before the new pricing takes effect.

Pricing :


Active Paid Accounts

  • Minimum billable accounts: 50
  • Price per active paid account: $2.25/month
  • Minimum monthly account charge: $112.50
  • Free, Trial, and Expired accounts are not charged as active accounts


Note : Free account subscribers limit is 100 maximum.



Subscribers

  • First 1,000,000 subscribers included
  • Above 1M: $0.0005 per subscriber/month
  • Subscriber usage is calculated from all customer accounts under your White Label



Message Credits

  • Message Credit billing will be removed
  • No separate BotSailor Message Credit purchase will be required under the new model



AI Usage

  • AI usage will continue to be billed separately




Example

If you have 100 active paid accounts and 1.5M total subscribers:

Active accounts: 100 × $2.25 = $225

Additional subscribers: 500,000 × $0.0005 = $250

Total monthly White Label bill = $475




Effective Date

For our existing White Label customers, the new pricing model will take effect from January 2027.


The goal of this change is to make White Label pricing fair, simpler, predictable, and scalable while removing the complexity of fixed user packages and Message Credit billing.

I appreciate the effort to simplify the White Label pricing, but I believe the minimum billable 50 active paid accounts could be a significant issue for small resellers.

For resellers with only 5–10 active customers, paying $112.50/month means an additional fixed cost even though their actual platform usage is much lower.

The new model is supposed to make pricing fair and scalable based on actual usage. In my opinion, applying a minimum of 50 accounts works against that goal for small resellers.

It would be much fairer to charge based on the actual number of active paid accounts, without a 50-account minimum, or at least have a much lower minimum for small resellers.

This would make it easier for new resellers to start, grow gradually, and remain profitable while building their customer base.

I really appreciate the update to the White Label pricing model. Reducing the minimum billable active paid accounts from 50 to 20 is definitely a positive change and makes the pricing more reasonable for smaller resellers.

We were hoping that the subscriber limit would remain as it was, but I understand that pricing and limits need to be balanced from the company’s perspective.

Overall, if the management team believes that the new structure and the 500,000 subscriber limit are fair and sustainable, then I’m completely fine with it.

We have reduced the minimum user accounts charge to 20 accounts.


And though you are seeing the initial subscriber limit 500K, but the subscribers price also reduced to .0004 from .0005.

So overall it reduces the price for big customers too.

Even with the reduction to 20 accounts, I still feel the pricing is far too high for smaller resellers.

Honestly, I don't understand who came up with this pricing structure. You already have more resellers than ever, and increasing the cost this significantly could push many of them away. For many resellers, pricing is one of the main reasons they choose a platform, and I believe this change could make a lot of them reconsider their long-term commitment to BotSailor.

From our side, we have already started creating our own plan for migration. With the APIs and JSON downloads, moving to another platform is not as difficult as it may seem. I personally know around 20 + already started migration to new platforms.

So I would strongly suggest reconsidering this pricing model before making it final. What may look like a way to increase revenue could actually result in losing a significant number of resellers and their recurring business.

In my opinion, this pricing structure could end up creating a trap for BotSailor itself rather than a trap for resellers. If the goal is long-term reseller growth and retention, the pricing needs to be much more reasonable and aligned with the actual usage of smaller resellers.

Thank you for sharing your feedback. We understand that any pricing change can be difficult, especially for smaller resellers.


However, we have reviewed this model very carefully based on actual usage, infrastructure cost, support cost, platform maintenance, and long-term sustainability. The current pricing structure has allowed very large amounts of platform usage without generating enough revenue to support that usage properly.


For that reason, the new pricing model has been finalized and we do not plan to revise it again.


We also understand that some resellers may decide that the new model no longer fits their business, and we respect that decision. Our responsibility is to ensure BotSailor remains sustainable, stable, and capable of continuing long-term development for the customers who choose to stay and grow with us.


The goal is not to retain every reseller at any cost. The goal is to build a healthy ecosystem where pricing is aligned with actual business usage and where BotSailor can continue investing in infrastructure, support, AI, automation, and product development.


We appreciate your concern and your time in sharing it, but the pricing structure itself is final. Our focus now is on making the transition as smooth as possible for everyone.

Yes we understand and respect your decision regarding the upcoming pricing model and we appreciate the effort to make the pricing simpler and more predictable


However I want to raise one important concern from the reseller side


Announcing such a major pricing change with a relatively short transition period will be very difficult for us to manage with our existing customers


Many of our customers have already purchased yearly plans based on the current pricing structure and commitments We also have many old customers who joined with different expectations and pricing


On top of that many resellers are currently offering competitive pricing and unlimited subscriber packages to their customers Under the new pricing model the cost structure will change significantly and it will be very difficult for us to suddenly explain and convince all our existing customers about the new pricing


If the new pricing is implemented too quickly it may create confusion between us and our customers and we may lose some existing customers and business


I kindly request the BotSailor management to consider giving existing White Label resellers at least 8 to 12 months of transition time


This period would help us


Communicate the new pricing properly to our existing customers


Complete our existing yearly customer commitments


Gradually adjust our reseller pricing


Inform customers about the new subscriber based pricing


Prepare customers who are currently receiving unlimited subscriber plans


Avoid sudden price increases and customer complaints


Protect the long term relationship between BotSailor resellers and their customers


We completely understand that the pricing model needs to evolve as BotSailor grows and we are not against the change


Our only request is to give existing resellers enough time to adapt


We have invested significant time and effort in building our business around BotSailor and we want to continue supporting the platform for the long term


Please consider at least an 8 to 12 month transition period for existing White Label customers before the new pricing becomes applicable


I hope management will consider the reseller side and understand the practical difficulties we will face if this change is implemented too suddenly.

However, the current pricing structure and the way some reseller packages have been offered—with very large or unlimited subscriber allowances at extremely aggressive prices—have created significant and continuously increasing pressure on our infrastructure. Continuing with the existing model for another 8–12 months would mean continuing an unsustainable situation for BotSailor.



For this reason, we have provided a 3-month transition period before the new pricing becomes effective. Considering how quickly SaaS businesses and pricing models evolve today, we believe this provides reasonable time to communicate with customers, revise packages, manage existing commitments, and prepare for the new structure.


We understand that adjustments will be required on the reseller side, but unfortunately we cannot extend the transition for another 8–12 months.


The 3-month transition period is final, just as the new pricing structure is final.


We sincerely appreciate your understanding and hope everyone uses this period to prepare their customers and business accordingly.

I have reviewed the 2027 White Label pricing update carefully, including the reduction of the minimum from 50 to 20 accounts.


While this is an improvement, it does not solve the main issue for EXISTING PPU / Lifetime White Label customers.


When I joined BotSailor and built my own identity/brand around your platform, the commercial proposition was clear: one-time White Label access, no recurring platform fee, and payment based on actual usage/credits.


That was one of the main reasons I chose BotSailor.


Now, existing customers are being moved into a recurring model where we must pay for a minimum number of accounts even if we do not actually have that many active customers.


_ If I have 3 active customers, charge me for 3.

_ If I have 8, charge me for 8.

_ If I have 20, charge me for 20.

That is real pay-per-use.


Charging me for 20 accounts when I only have 3 is simply a mandatory monthly minimum fee under another name.

And this raises a much bigger concern than $45/month.

The bigger concern here is TRUST.


If this type of pricing change is considered normal and acceptable, then theoretically any software company could launch a platform at an extremely attractive price, run advertisements, offer lifetime access or very low entry costs, encourage businesses to build their operations and customers around that platform, and once those businesses become dependent on it...


Even if BotSailor believes it has the right to change pricing, this is still a serious commercial and reputational issue.


New customers joining in 2027 will know the new terms before purchasing.


Existing customers did not.


That distinction should matter.


In my case, my Facebook Business account had been restricted until recently, so I had not yet been able to properly market my brand and build a meaningful customer base.


Because of this new pricing structure, I now have to seriously consider whether it is safer to move to another platform with a more predictable long-term pricing model before I start onboarding customers at scale.


This pricing change does not encourage me to grow on BotSailor.


It makes me question whether I should grow on BotSailor at all.


My request and the request of all existing white label users are simple:

1. Please grandfather existing PPU / Lifetime White Label accounts and remove the minimum monthly account requirement for legacy customers.

2. Charge us based on the number of accounts we actually use.


If BotSailor wants to apply the new minimum to NEW customers joining under the 2027 model, that is a separate decision because they will know and accept those terms before paying.


Please escalate this request to management and provide a clear answer specifically regarding legacy White Label customers.

Thank you for sharing your concerns. We understand that the main issue is the minimum payment, especially for existing White Label partners who are still at the beginning or growing their customer base.


For such partners, we can offer an adjusted usage-based structure with no 20-user minimum and no included 500K subscriber allowance.

You will pay only based on actual usage:


$2.25 per active user

$0.0004 per active subscriber

For example, if you have only 2 active customers and 10,000 subscribers, your monthly bill would be:


2 users = $4.50

10,000 subscribers = $4.00


Total: $8.50/month


To get this structure, simply switch to the Flex Account and contact our team. We will make the adjustment for your account as a beginning/growing White Label partner.

This way, you can start small, pay according to your actual usage, and your bill will grow only as your business grows.

I started with BotSailor with the intention of building a long-term relationship, not just using the platform for a short period.

Over the past year, we have invested a lot of time and effort into migration, setup, client onboarding, support, and building our business around the platform. When we started, we planned our entire business model based on the pricing and message credit system that was available at that time.

So, I have a small request regarding the recent pricing change. 🙏

I completely understand that pricing may need to change as the platform grows and costs evolve. I have no issue with the new pricing being applied to new clients. We can plan our future packages and pricing accordingly.

My only concern is regarding our existing clients.

Today, we have 200+ clients. When we onboarded these clients, we calculated our pricing based on the previous cost structure and made commitments accordingly. Applying the full additional cost to all existing clients at this stage would be quite difficult for us to manage.

If we had only 5–10 clients, we could probably absorb the difference. But with 200+ clients, even a small increase becomes a significant recurring monthly cost.

More importantly, going back to our existing clients and asking them to accept a sudden additional cost is not easy, because these commitments were made based on the pricing that existed when we started.

So, my humble request would be:

Existing Clients → Previous pricing / special grandfathered pricing

New Clients → New revised pricing

This would allow us to honor the commitments we have already made while also accepting the new pricing structure for future clients.

I want to make it clear that this is not a complaint or a request to stop the price increase. I completely understand the need for pricing changes. I am only requesting some consideration for the clients we already have.

I chose BotSailor with the belief that this would be a long-term partnership, and I genuinely want to continue growing with the platform for many more years.

I hope our journey, the effort we have put in over the past year, and our existing client commitments can also be considered while implementing the new pricing.

I believe there can be a solution that works well for everyone. ❤️

I just need one clear confirmation: Can we have the flexibility to use both token systems instead of choosing only one BotSailor’s Ai tokens for some client accounts and our own Ai tokens for others?


Also, will features like Labels, Notes, and Custom Fields continue to work with our own tokens, or will they only work with BotSailor’s tokens in the future?
