Configuring the Central Control System: "Enable AI Assistant"- A Detailed Demonstration

The centralized control system for the AI Assistant can be found under the Bot Manager section. This comprehensive central control system enables you to manage the chatbots activity, create a new ai training campaign, select the preferred ai campaign ensuring that it matches perfectly with your business needs & customer support strategies. In simple terms, this feature offers a highly customizable and intuitive approach to optimizing your chatbot's performance that maintains professional interactions & helps you maintain strict control over sensitive or restricted content. In the following sections, we’ll walk you through the steps to configure this powerful feature for your AI chatbot. Let’s get started- 


Enable AI Assistant

At first Go to Bot Manager, under the bot reply section, u will find the ‘Enable AI Assistant’ option. Once enabled, a bunch of settings will open. From here you can modify & customize the chatbots behaviour & interactions.


AI Training Campaign

Here you can select an AI training campaign that is already trained/made. Beneath that there is an option for ‘Create’ , that will take you to the ‘AI training Campaign’ page where you can make new trained AI chatbots. From ‘Refresh’ option you can simply ‘refresh’ the settings.

AI Assistant for All Queries

When someone enables this option, the AI will reply to all customer queries, regardless if it matches the  bot flow keyword/template or not. In this case the chatbot should be highly optimized and trained with all necessary input & data’s.

 


 

     

   

     AI as a Fallback Only

If the user activates this option, the bot will only reply when the ‘No Match Reply’ is triggered. That means, when there is no match to the previous predefined bot flow, the AI reply will be activated & reply according the training data.


 

Assign Team member or agent by AI

By Activating this option the AI chatbot will assign a human agent upon customers request with its advanced Natural Language Processing (NLP) capabilities. These capabilities helps the chatbot to understand user intents, detect specific keywords or phrases indicating a need for escalation.

Enable Contextual Memory

Switching on this feature the chatbot will ought to memorize the previous conversational contexts for future references. Additionally, you can configure the number of messages the chatbot will retain in its memory. For example, For previous (Number) conversations with the subscriber suggests that the chatbot will memorize the context from a selected number of messages.

Restricted Topics  

Configuring this option will help your chatbot to understand what topics to avoid. This will ensure that the conversation remains appropriate & controlled with a more professional tone.

Response for Restricted Keywords

  • Here you can set the response for restricted keywords. When a customer inputs any restricted keyword during the conversation, it will respond with the predefined message, maintaining professionalism. This response can be set to provide clarity and politely informing the user about the restriction.

AI Chatbot Training With data- A Step by Step Guide

First, head over to BotSailor's Dashboard, Go to Bot Manager, & click, 'Enable AI Assistant'. From  here, simply click, 'Create',

 


Afterwards, it will redirect you to the 'AI Training Campaign' page. Click 'New' to create new AI campaign with trained data. After creating the training campaign, you have to edit the chatbot from this Action Menu. Let's make a new AI training campaign.


 

Let’s Set Up the Primary Prompt for the AI Chatbot: After clicking new, this page will open where you can add the 'Campaign Name' & 'Prompt Message' .

 


There is already a default Prompt message for the bot. It's an initial instruction to the bot to help it understand its role.  You can tone it according to your needs & the AI chatbot online will know its functions. After naming the campaign, let’s update the default prompt and give more precise instructions. For this, I have added,

'Your responsibility is to support our customers as an agent or representative for our company. Always represent yourself as "we" or "our company" when discussing features, services, or policies. Your role is to assist customers with accurate and helpful information about our offerings. When addressing customer inquiries about prices, provide clear and concise information, including any available discounts, packages, or subscription options. Keep your responses professional, friendly, and informative & ensure that the customer understands how our products and services can best serve them.


Training the AI Chatbot With Manual FAQ:


After the Campaign is created, let's modify it by clicking the Plus button from the 'Actions' menu.


Here, this page will open, where you will find a box to input FAQs manually as per your need.

 


 

Now I will add a few FAQs here, one by one & click 'Save'. You can add as many FAQ’s as you like.

 


 

That's all, the FAQs will are added & the open AI chatbot will generate answers according to this FAQs. 

 

Training the AI Chatbot With URL:


Now, insert an URL into this open AI chatbot setting to fetch data! First, switch to the URL from the right corner and click 'New.'

 


 

Following that, this page will open,  where you have to add the Campaign URL, of the page from where the bot will fetch data, in the 'Fetch Content Configuration' section, you must select a 'Selector,' which can be either 'ID' or 'Class.' Well, this depends on the website's design. Some elements on the page are defined by an ID (unique to that element), while others are defined by a Class (which can apply to multiple elements). The choice of Selector will depend on the website's structure and which one best targets the specific content you wish to fetch.

You can also Remove Content Configuration by ID or class to specify areas to exclude if the webpage contains unnecessary details, such as ads, navigation bars or footers, irrelevant to the content you want to fetch. Removing these sections ensures that only the necessary content is included in the fetch process.

 

 

Now after adding the URL let’s complete the process. Here, I will add BotSailor's landing page link. I specifically selected the part where BotSailor's Integrations are mentioned, and after inspecting it, I can see it's under the 'Class' section. 

 


 

From here, I copied the selector name, 'Container.'

 


 

Now, I will apply the input in the Selector and Selector Name section. The Selector is 'Class,' and the selector name is 'Container.' 


 

Since I only selected one part of the page to fetch data, I do not need to remove any content configuration. Now I will add another URL & add 'BotSailor's Webhook Workflow' part in the same way, so if customers ask questions about these features, the AI chatbot online can fetch data from these sections and answer them. 

 


 

 I copied the selector in the similar way that I showed previously. Finally, once done adding the Class & Selector Name, click 'Generate FAQ.' 

 


 

It will generate an FAQ based on the URL information. Just click the 'Save' button & you are good to go. That’s all about the URL input, you can either give specific ID or Class from a selected section or the entire page. In that case you should remove unnecessary content by using the removing content configuration option.

 

Training the AI chatbot with File:

From the right corner again switch to File settings, click 'New', and upload a file from here, as showing in the attached image.

 


 

After submitting the file, the bot will generate several FAQs just by clicking 'Generate FAQ' button. Click save to continue.

 


 

These FAQs will be used by the open AI chatbot online to provide accurate and relevant responses based on the content of the uploaded file or document.


Setting Up the No Match Reply & Configuration


Since I have completed training the free AI chatbot online with necessary URLs, files, & Manual FAQs as needed. Let's configure the No Match Reply, where the bot will reply to any customer query according to the training data upon no match! 

·    Go to Bot Manager, then 'Action Buttons,' & click 'No Match.'

 


 

It will redirect you to the visual drag-and-drop flow builder. Double click ‘AI Reply’. In the 'Open AI training campaign' section, select and save the trained bot.

 


 

In the next step, scroll down in the Bot Manager & click 'Configuration.' 

 

 

Enable the 'No Match Reply' & save settings. No match reply setting  with AI Campaign is the best option to make your open AI chatbot active all time.

 



Configuring the Central Control System: "Enable AI Assistant"

Simply Navigate to the Bot Manager. Locate the "Enable AI Assistant" & switch it on.  As we discussed above, the details settings menu will appear, allowing you to configure how the chatbot will operate. Now set the chatbot to either ‘AI Assistant' for All Queries’ or ‘AI as a Fallback Only’ according to your need.

 

 Let's test the bot now from an user end!
