How to View and Filter Subscribers in BotSailor

BotSailor’s Subscriber Manager provides a powerful way to view and filter chatbot users across different platforms such as WhatsApp, Facebook Messenger, Instagram, Telegram, and Website bots. As your subscriber list grows, being able to quickly locate, segment, and manage specific groups of users becomes essential for effective marketing, support, and automation.

This guide will walk you through how to access your subscribers, understand the filtering options, and apply filters to perform targeted actions.

Why Filtering Subscribers Is Important

As your chatbot attracts more users, you’ll often need to:

  • Target a specific group for a campaign (e.g., users who opted in last 7 days)
  • Check who’s currently in a sequence or has a specific label
  • Identify users with incomplete flows or missing information
  • Find people based on subscription status (active or unsubscribed)

BotSailor makes this process fast and intuitive using filters and search options built right into the Subscriber Manager.

Where to Find Subscriber Lists

To view your subscribers:

  1. Go to your BotSailor Dashboard.
  2. From the left sidebar, choose a channel:

    • WhatsApp
    • Facebook Messenger
    • Telegram
    • Instagram
    • Website Chatbot

  3. Click on Subscriber Manager under the selected channel.

Each channel has its own subscriber list, but all interfaces function the same way. If you need more details about subscriber manager then follow this article

How to Use Filters in Subscriber Manager

You can combine multiple filters to pinpoint exactly the users you're looking for. Here's how each filter works:

🔹 1. Bot Selection Dropdown

  • If you have more than one bot under a channel (e.g., multiple WhatsApp bots), this dropdown lets you switch between them.
  • Only the subscribers connected to the selected bot will be shown.

🔹 2. Select Labels

  • Lets you filter users by label (tags like “Lead”, “VIP”, “Cold User”).
  • You can select one or multiple labels.
  • Ideal for creating segmented campaigns or exporting specific groups.

âś… Example: Filter users labeled “Webinar Registered” to send them a follow-up message.

🔹 3. Select Status

  • Choose between:

    • Subscribed: Active users who can still receive messages.
    • Unsubscribed: Users who opted out or were manually unsubscribed.
  • This helps in cleaning your list or excluding unsubscribed users from broadcasts.

âś… Example: Filter only “Subscribed” users to run a campaign and avoid messaging opt-outs.

🔹 4. Select Sequence

  • View subscribers currently enrolled in a specific automation flow or sequence.
  • Useful for checking progress in onboarding, drip campaigns, or promotional funnels.

âś… Example: Filter users in the “7-Day Welcome Sequence” to see who’s being nurtured.

🔹 5. Search Box

  • Use keywords to find a specific subscriber by:

    • Name
    • Phone number
    • Email (if collected in input flow)
    • ID or custom field (if indexed)

âś… Example: Search “+88017” to view all users from Bangladesh by phone prefix.

Combining Filters

You can combine multiple filters for more refined results. For example:

  • Bot: “Botsailor chat solution”
  • Label: “label2”
  • Status: “Subscribed”

This combination will give you only the active users who abandoned their cart and are currently in your recovery sequence—perfect for follow-ups or retargeting.

Clearing Filters

To reset your view:

  • Click the "X" beside any selected filter to remove it.
  • Refresh the page or reselect the bot to return to the full list.

Pro Tips

  • Always select your bot first if you have more than one—filters apply only within the selected bot.
  • Export filtered users using the "Download as CSV" option in the “Options” dropdown.
  • Assign sequences or labels in bulk after filtering by using the multi-select checkboxes.
